How does MX handle my personal info?

Understand what MX uses, how it is used and how to remove data

What information do you store?

As part of the audit trail for (1) what data was sent & received (2) who was involved and (3) where / when it was downloaded, MX records;

  • The email address of the involved user(s)

  • The company you work for

  • The IP address at the time the upload / download was initiated

  • An avatar image (if submitted).

  • Telephone number (if submitted)

Who can see this information?

To allow internal users to search for data recipients, they can see email address / company name as a minimum and your avatar if you have added that information. 

Only your name, company name and email are searchable.

Your entire record is only visible to administrators.

External users can only see internal user email addresses + names for the purposes of sending data.

Your information will be displayed against any transaction that you have been involved with (i.e. a recipient), however this will be only be visible to; 

  • The internal user who sent you the data.

  • The person(s) that you sent data to.

  • Anyone with a supervisor role.

  • Any administrator.

What if I would like my data removed from the system?

  • Contact the MX administrator for the MX customer you are connected to. If you don’t know who this is, contact gdpr@majentasolutions.com. Your record in their address book will be removed and you will no-longer be visible within that customer account.

  • Past transactions that you have been involved with will still record your email address, but this data will only be available to internal users + administrators of the MX customer when they perform data exchange audits. The account will not be accessible.

  • Data will also be removed from the in-built chat tool (Intercom).
